How to stop losing customers to DMs that come in after you close
A DM nobody answers, or one answered hours later, can send the customer to whoever replies first, so every message that comes in after you close needs a useful reply while the customer is still deciding. Tell them you're closed and when you reopen, answer their question from your real hours and prices, and give them a next step, like a booking link or a request you confirm when you're back.
The real cost of an unanswered DM
People message a business when they think of it, not when it's open. A question about a price, a booking or an order often lands after the doors are locked, from someone who's ready to decide tonight.
If nobody answers, that customer doesn't wait politely. They ask the next business. In the 2025 Sprout Social Index, 73% of consumers agreed that if a brand fails to respond to their questions on social, they will buy from a competitor next time. That's what people say they'll do, not a count of what they did, but it shows how quickly a silent inbox turns into a lost sale.

This is how a chat with Copper Lane Barbers goes, start to finish. It is a demo business with sample details. Your own agent answers from your real prices, hours and policies.
- DM DESK: Hello, you're chatting with the AI assistant for Copper Lane Barbers. How can I help?
- Customer: you guys open right now?
- DM DESK: We're closed right now. We open again tomorrow at 9:00 AM.
- Customer: how much for a fade
- DM DESK: A fade is $35, and a fade with a beard trim is $45.
- Customer: can i get in tomorrow morning?
- DM DESK: You can book ahead for any open time with our booking link, and you'll pick the exact time there.
- Customer: do you do hair designs too?
- DM DESK: I don't have that on file, so I'll pass it to Jordan, who can tell you. If you'd like the team to get back to you, just send your name and a phone number or email.

A late reply can cost the sale too
Answering in the morning feels responsible. For the customer who messaged at 10 PM, it can be too late. By the time your reply lands, they may have booked the appointment, placed the order or hired someone else.
Most people won't wait a full day. The same Sprout Social research found that about three in four consumers expect a reply within 24 hours or sooner, and that's the outer limit, not the goal. The question that's closest to a sale, like a price, a time or an order, is the one that can't wait until you're back.
So the goal after hours isn't to be awake. It's to make sure nobody leaves the conversation with nothing.
The sources, and how to set a reply target you can keep, are in how fast a business should reply to customer messages.
Five ways owners handle it
Most owners land on one of these. Each one has a cost.
- Don't answer at all. It costs nothing tonight, but the customer who wanted an answer often gets one from a competitor instead.
- Answer from your phone at night. The customer gets a real answer, and you never get a night off.
- Reply in the morning. Your night stays free, but a reply hours later can arrive after the customer has already gone somewhere else.
- A fixed away message. It says you're closed, but it can't answer the question that was asked or take the next step.
- An assistant that answers from your own information. It can say you're closed, answer what you've written down, and pass the rest to you. It only knows what you give it, so the setup matters.
What a good after hours reply does
- Says you're closed right now, and when you reopen.
- Answers the question from your real hours, prices, menu or services, the same way you would.
- Gives a next step: a booking link to book ahead, an order placed ahead where your ordering page allows it, or a request with their details for you to confirm.
- Sends anything that needs you to you: complaints, refunds, custom quotes, allergy questions and anyone who asks for a person.
- Never promises when you'll reply unless you've decided that yourself.
Will customers talk to an AI assistant?
Most customers want one thing from a message: the right answer, so they can book, order or decide and get on with their night. When an assistant answers accurately from your real information, they get there without waiting for you to open.
Expectations have already moved. In Zendesk's CX Trends 2026 research, 74% of consumers said they now expect service around the clock because of AI. The same research found that 86% say responsiveness and accurate resolution highly influence their purchase decisions.
Accuracy is the condition. A wrong price or the wrong hours does more harm than a late reply, and plenty of customers still want a person for a complaint or anything unusual. That's why a good assistant answers only from what you've given it, says it's automated, and hands everything else to you.
"Over the past 12 months, I've asked more than a thousand customers in my retail store how they feel about talking to an AI assistant. Most told me they prefer it, as long as the answer is right, because they get what they came for sooner. That matches what the research above shows: accuracy comes first, and speed follows." How DM DESK handles it
DM DESK checks the time where your business is on every message, so once your hours are in, it knows whether you're open or closed. What it does next is up to you.
- After hours is on by default. Your agent keeps answering questions as usual and says plainly that you're closed whenever it matters, like when someone asks if you're open or wants something now. You'll find the switch in Your agent, under Voice and handoffs.
- With one location, turn After hours off and your agent keeps it short: it tells the customer you're closed and when you reopen. Anything that needs you is still sent to you.
- With a booking link, customers can book ahead at any hour. Your agent says when you next open and that they can pick a time with your link.
- For restaurants, it depends on your ordering page. With Toast or DoorDash, your agent can send the customer to order ahead. With a Square checkout, it tells them when you open and helps with the menu and prices until then.
- With nothing to order or book online, it says when you open, answers about your menu, prices or services, and tells them how to order or book once you're open.
- Closed for a holiday, a renovation or a week off? In Your agent, answer "Is your business temporarily closed?" with Yes and add your reopening date, or tick that you don't know it yet. Your agent tells customers you're temporarily closed and when you reopen, keeps answering questions, and takes no orders until then.
What comes to you while you're closed
When a website chat customer leaves a name and a phone number or email, it's saved as a lead. Booking, quote and urgent requests from Instagram DMs reach you the same way. You get an alert by email and in the app, and by text message if you turn texts on.
Your agent doesn't tell a customer when you'll reply unless you set "Your team replies within" in Your agent, under Voice and handoffs. Left at Not set, it never gives a reply time.
In the morning, open your Inbox. Reply directly sends your message and pauses the AI on that chat. Reply, then resume AI and Answer to AI send your reply without pausing it.

- In Your agent, under Voice and handoffs, decide on After hours and on "Your team replies within".
- Send yourself a test message after closing time and check the reply and the alert.
Service businesses use the same handoffs for quotes. See how contractors capture leads while on a job.
Questions owners ask.
Will it tell customers we're closed?
Yes. It checks the time where your business is on every message, and once your hours are in, it says you're closed and when you reopen whenever it matters to what they asked.
Can I stop it from answering after hours?
Yes, if your business has one location. Turn After hours off in Your agent, under Voice and handoffs. It then tells customers you're closed and when you reopen, and keeps it short. Anything that needs you still comes to you.
What if we're closed for a holiday or a week?
Mark your business temporarily closed in Your agent and add your reopening date, or say you don't know it yet. It tells customers, keeps answering questions, and takes no orders until you reopen.
Will it promise that I'll reply in the morning?
No. It only gives a reply time if you set "Your team replies within". Left at Not set, it never says when you'll reply.
Does it answer in other languages at night?
Yes. It replies in English, Spanish, Chinese, Vietnamese, Arabic or Tagalog, in whichever one your customer writes.
Will customers know it's automated?
Yes. On website chat, the opening message says they're chatting with your AI assistant. In Instagram DMs, the first reply is built to say it's an automated assistant, and so is the first reply of each day.
